A.         Hospitality

Someone with experience in planning an event              

(wedding, shower, etc)

Detail oriented

Can work with a budget

This can make or break the budget

 

B.         Curriculum

Best if CS educator or CNS with a history

of program planning

Choose topics, speakers/ format (tracks)

Layout the educational program

CEU application

Budget

AV equipment, speaker agreements/disclosure

On-site intro of speakers

Evaluations- total

Identify back-up speakers (plan for worst case)

 

3.         Vendors

Best if chair is manger/educator

someone with day-to-day contact with vendors

Contacts vendors

Set a budget


Arrange vendor space

Vendor info

Make sure they know electrical, phone, etc are

additional costs

Push for levels of vendor support

Need a large vendor space

Last MA NERS had 40+ vendors

$$talks - no check - NO space

 

4.         Brochure/Publicity

Come up with a logo

Think about format of brochure

Get info from each group

Hospitality

Curriculum

Work with group to develop fees for program

Find printer- get prices

Get mailing lists           

Decide who is going to do the books

registration/curriculum/publicity

As a group, committee needs to decide on

Bags

Name tags

Books

 

5.         Registration

Good with computer

Detail oriented

Keep good records

 

 


GROUND RULES FOR THE WHOLE GROUP

1.          Attend all meetings                                                      

2.         No hotel contact - only through chair unless

authorized by chair

3.         No one agrees to anything without group consensus

4.         Can be removed if not doing your job

Julie/Gina need to develop an overall budget with

categories for each sub group

Each sub group needs to develop a line item budget

All budgets come together, get looked at and approved

Have to be revenue neutral

 

April Conference

Flyer out 3 months ahead of time (Feb 1st)

CEU application in early

Allow 6 weeks for printing/putting together

Consider holidays - how busy everyone is

So have all speakers set by early November

Have 1st planning meeting at the hotel

don’t need to interact with hotel people

but need to see space
